This Wednesday, at 4:30pm in the Rotunda, we're having a General Meeting to discuss things including (but not limited to!) the end of semester party.

If you are unable to attend at this time, minutes will be posted in this thread after the meeting.

General Meeting start: 16:32.

It is noted that the turnout is rather small; likely due to approaching exams.

First order of business is a public event that will take place during the summer semester, proposed by Jesse.
   He described the following: since Anime Evolution is cancelled this year, there is probably some heightened interest by that community for a public event to take place at SFU. Perhaps we could book the Convocation Mall for something similar to last year's Summer Festival, but outdoors. Maybe around the end of July.
   Jesse can talk to Greg (Dolphin) who is running Cos & Effect in August to see if any vendors would like to get involved with this event. There's no precident for how this event would work out, but this is probably the best opportunity to be looking into it.
   Joey: How would we be advertising this?
   Jesse: We do a little bit of advertising outside of campus, but we could likely go through Greg's IRL Events group to spread the word about it. Promoting is probably not a big issue, compared to booking the area and minimizing costs since we likely would not be able to charge admission.
   Alex: Who would our target audience to draw in be?
   Jesse: The Anime Evolution crowd which was displaced (i.e. cosplayers and artists, etcetera)
   
   Alex: Could see this working, but wondering if sfu is a good venue for an event like this since it is out of the way.
   Jesse: AE used to be at SFU, and there are a vocal number of people who would like to see AE coming back to SFU, so there is interest.

   Alex: isn't really in touch with the crowd, but ARC can support someone who would want to help.

   Alex asks who would be willing to spend a little bit of time helping out, a number of hands go up.

   Mike to put up a post on the frontpage of the site seeing who would want to help out with this.
   Jesse will talk to Greg to see if this is event sounds feasible.

   Jesse suggested that a lot of the cosplay group (which is not present) might be interested in helping out.

   Jesse: It'd be good to have everything straightened out before maybe the end of the exam period.
   The people helping out could also have a meeting with Greg at some point.

Next order of business:
   Club members and non club members have been complaining to us about loudness. It is becoming an issue; as well as space. Alex says that it makes sense to have Magic as a part of the club, but we need to set a couple of rules.

   1. Volume. Keep it down; when we're getting complaints about the volume of our members, it is a problem.
   2. Space. The rotunda is a public space. You're certainly allowed to be here, but please be courteous. If people come around, hover, and leave, think about taking up less space. Also have some respect for ARC members who want space.

   Paul: Is it possible for us to get our own space?
   Alex: No, we can't. Spaces are available for unions, but we are a club.
   Jesse: The concern is not so much disrupting people outside the club, but these issues are discouraging people in the club from hanging around in the rotunda. A game should not be so big that it is stopping our members from socializing in the Rotunda.
   Joey: thinks it is true that there is a lot of noise, and that it is a big issue, but it is mainly a couple people that are loud. ANother problem: Has anyone felt felt like they come in here and can't get anything done? It is kind of a double edged sword because some people joined because of magic, however. Perhaps we can have a dedicated space for people with laptops and for people with magic, so people won't try to play magic between laptops and such.
   Paul: How about Joey's idea, but instead of having a laptop table, have one prioritized for Magic. The rest of the tables are prioritized for everything else.
   Jeff notes that we'd be trusting people to police themselves about voice
   Alex: People can come in say, right now, when it's quiet, start studying, but after the meeting it'll probably get loud again. It would be disappointing to be that guy. If the rotunda is quiet when you come here, try to keep it quiet. If the rotunda is loud, go ahead, but try to maintain its current state.
   Sam asks if there's any way we can enforce this.
   Jeff: We can just make people aware and hope that people will be conscious of it.
   Matt: The problem is the few people that are the biggest problem as far as noise. Unfortunately, these people do not listen to "hey you guys are too loud" and there's nothing we can do to them.
   Joey: Since this has been brought up, if enough of us tell them they're being loud, we should be able to get them to be quieter.
   Alex: Different direction: Magic players are now a substantial population of our club, and as Sam said, we don't have any way to enforce specific tables. Wait for a few weeks and see if the rules about volume and space are being followed, and if so we can appoint someone to run a magic ladder or tournament. So if people start caring (i.e. if player of the quarter gets free tickets at one of our parties' raffles or something) then it'd be a good social contract to promote them playing and having fun; magic would be semented in the club while also promoting positive behaviour.
   Jeff: Well, they are part of the club, and they might be feeling some hostility about it.
   Alex: There are a lot of players and the club could possibly be fragmented if we go about this the wrong way.
   Paul asks whether magic players have their own director.
   If we end up doing what was previously mentioned, we should probably have one starting in May.
   
   Joey has been nominated by a few people; but we'll leave this for the overnight party or General Meeting next semester when more people are around.
   If anyone else is interested in doing this, let Alex know

   Joey: Perhaps we could also be making some money for the club by organizing events. Maybe not in the Rotunda, but it seems there could be an opportunity here.

Next issue:
Garbage in the Rotunda
   Alex: Sometimes these tables are ridiculous. They don't get cleaned every night, and sometimes there is a heap of crap on the table.
   There is no janitor for the Rotunda; when stuff has disappeared by the morning, someone was just thoughtful enough to pick up your stuff and throw it out.
   I suggested that we have something put up on the ARC board saying that nobody is being paid to clean up the Rotunda.


On to the End of Semester Sleepover party:
   Sometime after exam period.
   Andrew brought up that we can do 8 player hardcore runs through Diablo 2. We have a group of 8 people that want to do this, but if more people want to jump in we can have a competition between two groups to see who can beat the game fastest.

   Some things we did last time included Robo Rally and Werewolf at 4am. We could do these things again.

   Mike to put up a forum thread about activities during the sleepover

   Also, we should book the button making machine that we had for the sleepover party two semesters ago.

   Paul suggested that we have one or two TVs with a DVD player, if anyone wants to marathon watch anything.


Upcoming events:
   Tomorrow at weeklies, a public screening of Princess Mononoke. Bring your friends and your friends' friends and your friends' friends' friends.
   Cosplay Photoshoot on Saturday
   Bowling night on April 2nd at 7pm. Two rounds, 3 lanes to be booked.

But really, that would be too much work, noone would read it, and even if, noone cares enough to care. It'll not really work if it's in the afternoon and like 234567654324565432 people are in the rotunda. We are a loud bunch, but to say a gathering of nerds wouldn't be loud is kinda impossible. Hell, I would love to see a bunch of people who never gets loud at any point when talking over 234567654324565431 people.
